We’re looking for a proactive, highly organized Team Assistant to support the Head of Infrastructure. In this role, you’ll help ensure day-to-day operations run smoothly by providing exceptional executive support and coordinating a wide range of administrative and operational activities. You’ll work closely with the Head of Infrastructure and the Executive Support team, handling everything from complex scheduling and travel to team events and operational coordination. Success in this role comes from being organized, detail-oriented, adaptable, and always willing to go the extra mile to get things done.

What you’ll do:

1. Executive Support

• Manage a dynamic and complex calendar across multiple time zones, balancing competing priorities and frequent scheduling changes.
• Coordinate domestic and international travel, including visas, accommodation, transportation, and last-minute itinerary changes.
• Organize meetings from end to end, ensuring all logistics and materials are in place.
• Manage expense reports, reimbursements, and other executive administrative processes.
• Coordinate administrative documentation, including NDAs and other required approvals.
• Act as a trusted partner to the Head of Infrastructure, anticipating needs, removing administrative burden, and ensuring they can focus on the highest-impact work.

2. Operations & Team Support

• Support the planning and execution of team events, offsites, leadership meetings, and other organizational initiatives.
• Coordinate vendors and external partners, including contracts, procurement, invoices, payments, and related administrative processes.
• Drive operational follow-ups by tracking action items and ensuring timely completion of key tasks.
• Continuously improve and document administrative and operational processes.
• Provide backup support to other Team / Executive Assistants and collaborate as part of the Executive Support team.
• Take ownership of ad hoc operational projects and administrative initiatives that help the organization run efficiently.
